  • Job Summary

    This position is responsible for administrative and clerical duties supporting the Director of our El Paso office.



    Essential Functions

    • Assist with preparation, research, input and distribution of offering documents for clients
    • Develop and execute general correspondence and memos
    • Review legal documents as needed
    • Review of quarterly regulatory filings with respect to completed transactions
    • Create, review and maintain documents in MS Excel
    • Maintain office filing system (paper and electronic)
    • Processes expense reports
    • Answer incoming telephone calls, determine purpose of call, and forward the caller onto the appropriate personnel
    • Take and deliver messages and transfer calls to voicemail
    • Assists clients in a manner that ensures that their needs are immediately addressed by a qualified person within the company
    • Welcome on site visitors, determine nature of business and announce visitors to appropriate personnel
    • Assist in arranging meeting space and ordering and setting up for refreshments
    • Maintenance of firm database for transactions undertaken and completed
    • Assist with all other office duties such as facilities maintenance, office supplies

      and other projects as needed

    • Serves as liaison with other Hilltop offices as necessary

    • Processes and distributes incoming mail, packages and deliveries

    • Assists with special projects

    • Perform other duties as assigned


    Job Requirements

    • High school diploma or equivalent. Bachelor's degree, preferred. 
    • Team player who can interface with a team of independent personalities
    • Organized and extremely attentive to detail
    • Strong communication and interpersonal skills (verbal and written)
    • Willingness to learn new tasks
    • Able to handle multiple tasks simultaneously
    • Must be dependable and punctual
    • Determination to see a job through to its completion
    • Proactive self-starter who works with a sense of urgency
    • Unquestionable integrity and a high personal standard of conduct
    • Proficient in Word, Excel, PowerPoint, Outlook
    • Desire for and commitment to longevity in this position
    • Professional dress is required
