Job Summary

The Wealth Management Administrative Assistant is responsible for assisting the Fiduciary Compliance Officers by providing administrative assistance related to compliance tasks and assisting with special projects within the department. Collects and prepares data and reports for various needs. Provides back-up support for others in the department as necessary.

Essential Functions

  1. Performs general administrative duties for respective office and team including, but not limited to, answering and routing calls appropriately, greeting visitors and ascertaining nature of business, providing information to authorized individuals, managing calendars, scheduling travel, ordering supplies, preparing expense reports, submitting expense reports and invoices to A/P, etc.
  2. Prints and reviews various Compliance reports: OFAC report, Overdraft report, Maintenance reports, FinCEN report, etc.
  3. Assists with preparation and gathering of data for the agenda that will be presented at Trust Administrative Committee meetings and prepares the minutes for the meetings.
  4. Assists with the preparation of data for quarterly Wealth Management and Trust Committee meetings.
  5. Helps with the collection and preparation of data for Audits and Exams.
  6. Prints reports for committees as requested.
  7. Performs US Patriot Identification Verifications, utilizing NexisLexis. Tracks missing documents on US Patriot Document Tracking Report.
  8. Assists with administrative tasks for trust accounts when needed
    1. Assist administrator in taking care of customer’s needs and requests.
    2. Prepare documentation for Trust Administrative Committee.
    3. Review and route incoming mail.
    4. Prepare outgoing correspondence.
    5. Complete necessary forms for file maintenance, account closings, etc.
  9. Performs other duties and special projects as assigned.

Job Requirements

  • High School diploma, general education degree (GED), or equivalent required. Bachelor’s degree in Business or related field preferred.
  • 3 to 5 years of related experience in a financial services company. Prior experience in wealth management, trust, or private banking strongly preferred. Relevant education may be substituted for experience requirements on a year for year basis.
  • Must have a professional demeanor with excellent verbal, written and interpersonal communication skills, the ability to maintain strict confidentiality, and the ability to interact with all levels of individuals.
  • Strong PC skills, including proficiency with word processing and spreadsheets via Microsoft Office products as well as the ability to learn and use custom applications and systems.
  • Superior time management, organizational and problem-solving skills with strong attention to detail.
  • The ability to work under pressure, meet deadlines and multi-task is essential.
