Job Summary

This position will support assigned manager by providing administrative support. This includes but is not limited to coordinating office meetings and travel arrangements, managing document flow and filing, and maintaining confidential information. The ideal candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced professional environment.

Essential Functions

  • Provide general administrative support including calendar maintenance, expense reports, mail distribution, and travel reservations
  • Coordinate all aspects of appointments, office meetings and conference calls
  • Interface professionally with executives across key business lines
  • Manage document flow, filing and department records
  • Compose letters and correspondence from verbal direction
  • Create and maintain spreadsheets, databases and reports using Excel and various other systems
  • Answer incoming calls, respond to complex or sensitive inquiries, and clarify company policies and procedure
  • Research and respond to internal and external requests for information
  • Collaborate with other support roles; develop and sustain a high level of professionalism among staff and clientele
  • Assist with special projects as assigned


Job Requirements

  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
  • Detail oriented with ability to work independently and prioritize workload
  • Positive attitude, enthusiasm and an eagerness to learn, perseverance, responsiveness, professionalism and discretion
  • Must be well organized, dependable, punctual, proactive and demonstrate the ability to take initiative
  • Exceptional interpersonal skills
  • Strong verbal and written communication skills
  • Experience in Word, Excel, PowerPoint, Outlook
  • High school diploma or equivalent (at a minimum)
  • Ability to work 8:00am – 5:00pm and be flexible for overtime as needed
