Job Summary

The Benefits Specialist will support the health, welfare and retirement plans including financial interface with vendor, audits and participation reporting. In addition, this role will be responsible for the maintenance of Leave of Absence process management and ADA coordination. Under the guidance of the Benefits Manager, this position will be responsible for the compliance of these programs. This individual will also work on special projects as assigned.

Essential Functions

  • Function as a liaison between vendors and broker on all benefit premium related issues
  • Participate in plan renewals and implementation of new benefit programs
  • Coordinate payroll focused audits to ensure deductions match enrollments for both Health & Welfare and 401(k) benefits.
  • Ensure benefit policies, and procedures are in compliance.
  • Administer all regulatory federal and state benefit reporting.
  • Review, reconcile and process vendor payments and implement billing audit process.
  • Provide regular reports to analyze current benefits, evaluating the usage, service, coverage, effectiveness, cost, plan experience and competitive trends in benefit programs.
  • Evaluate and suggest improvements to internal processes to reduce costs and increase efficiency.
  • Perform plan audits as needed.
  • Must work effectively with third party vendor in the administration and ongoing monitoring of all leaves of absences (including medical leave, FMLA (state and federal) and Corporate Leaves. Will serve as primary internal point of contact. Will also manage internal partial salary continuation program and collection of employee cost sharing portion of premiums while on leave.
  • Communicate Leave of Absence and ADA regulations, guidelines for compliance and administrative duties to all levels of management and Employees.
  • Own ADA accommodation process from beginning to end, partnering with Benefits Manager and legal counsel where applicable.
  • Remain current with government regulations to maintain benefit plan compliance.
  • Resolve employee inquiries related to benefit programs, both Health and Welfare and 401(k).
  • Primary internal point of contact with HRIS and Accounting.

Job Requirements

  • Bachelor’s degree in Human Resources, Business or related field; or equivalent experience
  • 3 or more years of benefits experience with a focus on plan reporting and analysis
  • Human Resources administration experience required.
  • Working knowledge of group self-funded plans, Health & Welfare, ERISA, HIPAA, COBRA, FMLA, ADA, ACA, Workers Compensation and Occupational Injury.
  • Knowledge of all pertinent federal and state regulations, filing and compliance requirements both adopted and pending affecting employee benefit programs, including ERISA, COBRA, FMLA, ADA, ACA, SECTION 125, Medicare, Social Security and DOL requirements.
  • Exceptional skills with Word, Excel and PowerPoint. Ability to use and interact with a diverse variety of technology.
  • Experience with HRIS, Benefit Enrollment and other web-based systems, particularly ExponentHR.
  • Demonstrated capability to execute tasks accurately and efficiently.
  • Proven problem solving skills.
  • Excellent written and verbal communication skill with ability to effectively explain complicated topics.
  • Ability to maintain confidentiality and demonstrate complete discretion in all matters, particularly highly sensitive ones including confidential communications and materials.
  • Ability to manage several complex projects simultaneously while working under pressure to meet deadlines within required timeframes.
  • Some Travel required
